Position Description

AN HR SHARED SERVICES BACKGROUND WOULD BE ADVANTAGEOUS.

To provide a support and administrative function to the HR Consultant/advisor’s and the relevant IT & Operations entities.

Admin and Support
Offer management and control
• Prepares and distributes offers and supporting documentation
• Controls MIE testing process
• Liaises with applicant regarding intake administration and Pre employment Medicals
• Receipts accepted offers and other supporting documentation.
• Administers PRU and provide BU manager with personnel number
• Feedback regularly on offer process to relevant HR Managers and BU manager

Payroll Administration
• Headcount management – permanent and non-permanent staff complement
• Monitor and supply stats on: Absenteeism, Commutation of leave, a n other.
• Performs annual Car audit
• Establishes and maintains a relationship with PeopleServe consultants & thereby ensuring the effective management of information on SAP.

Management Information System
• Management and control of Databases: Non Turnkey Contractor database, Offer database, Vacancy database, Terminations Databases
• Industrial Relations actions

Reports for CMC
• Transformation report
• Headcount report incl. Contractors

Monthly Reports
• Monthly headcount report
• Transformation report
• Monthly headcount report to financial controllers
• Bottom 10% report
• Appointments and Terminations
• Staff/Labour turnover
• Absenteeism

Annual and half year reports
• Collation of monthly reports into annual and half year statistics

Support to HR Consultants and Team
• Performs research into best practice scenario’s as requested by HR Consultants
• Makes presentations to management and staff on pertinent issues i.e. SAP; Value sharing etc
• Up skills Line management on changes as required. i.e. SAP
• Deals with staff queries outside of the scope of the People serve responsibility
• Assist with Job profiling
Controls SAP OM for area, make all changes required.

Consulting: provides advice and support to employees on:
• Policy related/administrative matters, salary and benefits policy/procedures queries
• Informs HR Consultants of activities in areas and provides feedback to HRC on instructions received.
• Resolves leave, overtime, Standby and Callout problems
• Deals with Blue star queries
• Performs Exit Interviews and reports outcome to BU manager.
• Develops and maintains sound and professional relationships with managers in BU and HR Team, to provide support, advice and guidance from an HR perspective.  
• Has well-developed networks with peers in the HR function, staff in PeopleServe to ensure efficient delivery of services

Industrial Relations
Assist managers with change, Disciplinary enquiries and set up DE hearings
Assist line managers will all exit documentation Complete PRU to record outcome on SAP

Projects: Take on and deliver on Ad Hoc projects as assigned.
Required Skills and Qualifications
• An HR Shared Services Background would be advantageous.
• Understanding of Group Benefits:    Bankmed,  SBGRF, Provident Fund, Funeral Benefit, Total Package, Car Account
• Understanding HR Acts: Employment Equity Act No. 55 of 1998, Basic Conditions of Employment Act No. 75 of 1997 and Promotion of Equality and Unfair Discrimination Act no. 4 of 2000
• Risk assessments
• Internet/MS Office
• Knowledge of the legal relationships with contractors and contracting houses
• Tax Legislation
• Policies as set out in GRG processes and Staff Movements (transfers, resignations, retrenchments, pension applications, inter group transfers etc), Leave Management process, Maternity Leave Policy, Headcount Management, Payslip outline and Structure, Car Account Admin;
• Non-Management Remuneration Policy
• Ability to work with Pivot Tables, Formulas, Graphs
• Understanding supporting equity and transformation strategy:
• Monitoring of targets vs actual quality of data accuracy.
