Job Description

Personal Assistant - JOH000BA
ZA-GT-Johannesburg

To support the ASA People Leader, COE Associate Director and the BU HR Senior Managers. This role will require maintaining of the administrative functionality and infrastructure at a standard that ensures efficiency and enables the team to effectively satisfy their clients both internally and externally.


Key responsibilities:

*
Diary and meeting management
o
effective management of the diaries, sending and responding to invites, updating calendars
o
book conference, training and other meeting rooms as required for both internal and external meetings
o
arrange and confirm all catering and stationery requirements for meetings
*
Drafting, compiling and editing of business documents
o
effective management of electronic and other mail, ensuring timely response to e-mails as appropriate
o
prepare and / or type reports, presentations and other correspondence as requested, ensuring that all correspondence is dealt with in a professional manner
o
prepare meeting files as required before meetings take place
o
typing of business documents (from minutes, notes - orally or dictaphone), document meeting minutes / action logs
*
Communication
o
Answer and screen telephone calls in a professional manner and attend to queries timeously
*
Travel co-ordination
o
flights, cars, accommodation, routes, itinerary, etc
o
book and confirm travel arrangements for Partner, Associate Director and Senior Managers, ensuring that any visa and / or forex, incl. all other travel requirements are met timeously
*
Administration
o
take responsibility for the administration and be a "super administrator" by coordinating and structuring a well managed admin and filing system
o
time sheet management and maintenance of the admin systems
*
Additional support
o
work effectively with the other PA(s) and other support team members, ensure ability to act as backup as and when required
o
assist with various logistical and administrative tasks to effectively manage the ASA people needs (e.g. farewells, monthly meetings, etc)
o
complete adhoc tasks as required
*
Works both independently and with the greater COE team to get results. Work is reviewed on established goals based on individual scorecards

Degree or National Diploma in a secretarial or communication field

Advanced computer skills and relevant experience

Approximately 5+ years previous secretarial experience is preferred
